Senior Administrative Assistant to Financial Advisor

Dundee Securities Corporation branch office (Allen Private Wealth) requires an experienced and energetic Senior Administrative Assistant to be the primary contact for all customers and other contact with the Branch. The incumbent will assist the branch owner in the running of office functions of the branch, coordinating responses to client enquiries, coordinating interactions and relationships with suppliers and other related professionals in the industry, as well as maintaining the schedule of the advisors in the branch. The incumbent will have demonstrated experience in office administration and in delivering proactive, prompt, courteous and professional customer service. The right individual will possess a strong desire to exceed client expectations in the providing of outstanding customer service.

This is an excellent long-term opportunity for the right candidate who has demonstrated experience in a client services and executive assistant roles, within the financial services industry, independent dealer channel. This position offers a solid base salary commensurate with experience and the upside of a performance based bonus.

Key Responsibilities

Assist advisors in providing responses to clients in the administration of investment products (stocks, bonds, mutual funds etc) and insurance products and their related services, within the scope of expertise, either by responding directly or by coordinating responses with the Investment Advisors, as appropriate.

Manage the calendar for the Senior Advisor and his Associates.

Assist in managing the general operation of the branch.

Assist with organizing client events, marketing campaigns and in preparing, marketing materials and other sales support collateral, as needed.

Call clients to confirm upcoming meetings and organize related paperwork for Investment Advisors.

Follow through on all related action items as a result of client meetings, request any outstanding forms, code notes and enter daily updates into ACT Contact Management System.

Assist the Branch Owner and the Associate Investment Advisors in developing new business by conducting proactive sales calls and assisting with written communications to new and existing clients.

Cross fill other administrative functions in the group as needed.

Maintain statistics on Customer Service and client satisfaction.

Review the Customer Service process and make suggestions for improving branch efficiency of various processes and procedures wherever possible.

Qualifications

Minimum of 5 years combined customer service and Executive Assistant or Administrative Assistant experience within in a retail mutual fund or securities dealer; specifically dealing with the public on customer services issues and enquiries.

Post Secondary Education in related field.

Successful completion of securities, or mutual fund courses; CSC completion and license would be an asset.

Investment and Life insurance sales or support experience.

Excellent verbal and written communication skills.

Strong interpersonal skills and ability to deal effectively with a variety of clients and investment professionals.

Experience and skills in managing people.

Strong organizational and administrative skills and ability to prioritize and multi-task.

Solid knowledge of computer applications, including MS Word, Excel, PowerPoint, and ACT or other contact management database programs or methodologies.

Mature approach, with an ability to exercise sound judgment in responding to inquiries and solving problems.

Flexibility to work longer hours as needed.

Own transportation required. (Free parking provided).

Salary commensurate with experience and licensing.
